AI Invoice & Accounts Payable Automation

Turn incoming invoices into validated, approval-ready records with human control before any financial decision.

Works with tools likeGmailGoogle DriveGoogle SheetsSlackMakeExamples from the reference implementation. Client workflows are configured around supported business tools.

Short product demo

The final demo will show invoice intake, structured extraction, validation, duplicate checks, approval routing and the audit trail. The Loom video will be embedded here.

The business problem

Accounts payable teams repeatedly open attachments, retype invoice data, check suppliers, look for duplicates and chase approvals. Manual handoffs increase processing time and make it harder to see where an invoice is, why it was flagged and who approved it.

How the system works

01An invoice enters through the configured intake channel.
02The document is parsed and key invoice fields are extracted into structured data.
03Validation rules check required information and duplicate controls help prevent the same invoice from being processed twice.
04Invoices that require attention are routed for human review rather than silently accepted.
05Approval actions are recorded and pending approvals can be monitored against an agreed SLA.
06The system prepares and records the workflow; it does not autonomously move money.

Why implement it

The product removes repetitive AP administration while preserving approval authority. Finance receives structured information, exceptions and a traceable decision path instead of relying on inbox searches and manual copying.

Potential business impact

The expected impact is less manual entry, more consistent validation, earlier visibility of duplicates or exceptions, clearer approval ownership and a stronger audit trail. The exact time or cost benefit depends on invoice volume and the client's current process and is measured during discovery and pilot.

Security and financial control

Human approval remains a deliberate boundary. The production design includes validation, duplicate protection, controlled approval actions, retry/error handling and auditable records. Security and retention settings are finalized with the client environment and data requirements.
